Termination of employment contract - finalising your resignation

On this page, you will find an overview of all the things you need to consider before your employment contract is terminated, so you can take care of the important matters in good time.

If you terminate your employment contract at your own request, you need to arrange this via the self-service option Offboarding - resignation request by employee. In case your resignation has other reasons, your manager will arrange your termination.

On the termination of your employment contract your VUnetID will be deactivated on the day after the employment contract is terminated. This has immediate consequences for accessing your email and files, as well as the self-service options. You may still have a number of matters to deal with, so timely action is called for, especially since you are also asked to return the Vrije Universiteit Amsterdam property with which you normally take care of these matters. Furthermore, schemes and provisions implemented by Vrije Universiteit Amsterdam may have applied to you during your employment contract that may require action on your part in the event of your resignation.

Consequences of the deactivation of your VUnetID

  • Loss of access to your Vrije Universiteit Amsterdam email address and inbox

    Once your VUnetID is deactivated you will also lose access to your Vrije Universiteit Amsterdam email address. From then on you can also no longer receive emails at that email address.

    If you have enabled a forwarding email address, this will also be automatically disabled. So make sure your contact persons are aware of another email address where they can reach you.

    If you have been using your Vrije Universiteit Amsterdam email address for newsletters or online webshops, for example, make sure you also change it to another email address before your VUnetID is deactivated.

  • Loss of access to various files and network drives

    You will lose access to files stored on SURFdrive, OneDrive, Google Drive, the G drive and the H drive as soon as your VUnetID is deactivated. So make sure you put files that are important to a colleague or fellow student on the group drive or otherwise make them available to a colleague before then.

  • Loss of access to various systems

    You will lose access to various systems, such as:

    • the VUnetID protected pages for employees on VU.nl
    • the Service Portal
    • VU-campusnet and Eduroam
    • the Digital Workplace
    • SURFspot
      You can often continue to use software you have purchased through SURFspot. This depends on the licence conditions of the software package. You can find these conditions on the SURFspot website. Make sure you secure the licence codes for the software, because once your VUnetID is deactivated you will no longer be able to log into SURFspot to download these codes. You can find these codes via ‘My SURFspot’ > ‘My orders’.
  • Time registration via self-service option no longer possible

    If you record time for your work, you must record all unwritten hours from the period prior to your termination via the self-service option Record time no later than on your last working day. For more information see Time recording in the new system (Take action now).

  • Declaration via self-service option no longer possible

    You must submit your expense claims via the self-service option Reimbursement of expenses for internal employees no later than on your last working day.

    If you submitted one or more travel requests before the termination of your employment contract and you have received an advance payment for these expenses, you must also submit proof of the expenses incurred no later than on your last working day via the self-service option Reimbursement of expenses for internal employees.

  • Viewing salary specification and holiday leave chart via the self-service option no longer possible

    Salary specification and annual income statement

    When your employment contract is terminated, you will receive your final salary specification by post at your home address. If there are any subsequent payments to be made, another new salary specification will be sent to your home address by post.

    You can access your old salary specifications and annual income statement via the self-service option Payslip (salary specification) and annual income statement  no later than on your last working day, and print or download them if you wish. 

    Holiday leave chart

    You can view your holiday leave chart no later than on your last working day. For any settlement of remaining holiday leave, you should contact your manager prior to your resignation. In principle, all remaining holiday leave should be taken before the termination date, unless your manager requests you to continue working until your termination date for operational reasons.

  • Changing personal details via the self-service option no longer possible

    When your employment contract is terminated, you can view your personal details or make any changes, for example a change of address, no later than on your last working day. You can do this via the self-service option View and change my personal details.

Returning Vrije Universiteit Amsterdam property

  • Keys, passes, desktop, laptops, telephones etc.

    Every employee of Vrije Universiteit Amsterdam receives a pass and/or keys on commencement of employment.

    For hybrid working, employees are often provided with home office facilities, such as IT equipment (a complete desktop home office kit and/or a laptop combined with a mouse and keyboard) and an office chair.

    If you have received compensation for a desk and/or desk lamp and leave employment within one year of its purchase, a partial refund of this compensation applies.

    Some employees have also been given tablets, smartphones or other items on loan as part of their terms of employment.

    On termination of your employment, all Vrije Universiteit Amsterdam property must be returned to the employer. Please contact your secretariat for returnment, or arrange it with your manager.

  • Parking pass for use with commuter parking permit or carpool

    If you have a parking pass for the VU campus through Parc Facility, you should immediately inform Parc Facility of the termination of your employment contract.

    If you continue to use a commuter parking permit when you are not entitled to do so, you will be charged the full daily rate as applicable for parking outside the VU campus for each day the permit is no longer valid.

  • NS-Business Card

    All Vrije Universiteit Amsterdam employees who have an NS Business Card for business travel should return this card to the HR Service Desk − Public Transport, De Boelelaan 1105, 1081 HV Amsterdam, no later than on the last working day.

Practical arrangements

  • Illness upon or following termination of employment

    Vrije Universiteit Amsterdam is an own-risk bearer under the Sickness Benefits Act. VerzuimConsult and SV Pay are responsible for the implementation of all legal obligations arising from this own-risk bearer status on behalf of Vrije Universiteit Amsterdam.

    If you are ill upon termination of your employment, Vrije Universiteit Amsterdam will transfer your absence file to VerzuimConsult.

    If you become ill within 28 days of the end of your employment contract, a different illness and reporting procedure applies to you than during the term of your employment contract. You no longer register your illness via the Reporting illness and recovery self-service option, but you report your illness as soon as possible by telephone to the HR Service Desk on (020) 59 82882. 

    The employer has the duty to report you sick to UWV, and transfers your absence file to VerzuimConsult. VerzuimConsult will inform you in more detail about determining the duration and amount of the benefit. 

  • Unemployment Regulation of the Dutch Universities Exceeding the Statutory Minimum (BWNU)

    The Government and Education sectors have a non-statutory unemployment benefit scheme, the BWNU. On the Universities of the Netherlands website you will find a BWNU transfer scheme to assess your eligibility for this. If this is the case, you can download and print the application form. You should complete the employee’s section yourself; the employer’s section will be completed and signed for you by the HR Service Desk. For this, you need to send a scan of the form to servicedesk.hrm@vu.nl. The HR Service Desk will then return a scan of the signed and completed form to you. You should then send the form and its appendices to Raet. The address is shown on the application form. The HR Service Desk can be contacted at servicedesk.hrm@vu.nl or (020) 59 82882.

  • Deregistration from the ABP General Pension Fund for Public Employees

    You will be deregistered as a participant in the ABP General Pension Fund for Public Employees. You may wish to transfer the pension rights that you have accrued with you to another pension fund. You can find more information on transferring your pension rights at www.abp.nl.

  • Group insurance schemes

    Group health insurance scheme

    If you are insured for medical expenses through the group health insurance scheme that Vrije Universiteit Amsterdam has taken out with Nationale Nederlanden, OHRA or Zilveren Kruis, you can retain the same current policy under the same group terms and conditions until the termination of your employment contract. After that, in principle, the group discount will expire. 

    For new premium options of your current health insurance, contact your current health insurer.

    • Zilveren Kruis 071 751 0051

    ABP KeuzePensioen, WAO/WIA/IP and WW/BWNU beneficiaries and employees who have reached the state pension age and are insured with the Nationale Nederlanden, OHRA or Zilveren Kruis group insurance scheme may continue to participate in the group insurance scheme on the same terms and conditions. At Nationale Nederlanden and OHRA this is done under the same group insurance policy number. Registration with Zilveren Kruis is required under group insurance policy number 207075773 (Stichting Zorgverzekeringen Gepensioneerden HBO).

    You can make changes via the health insurer’s website, or contact customer service. 

    Group disability insurance scheme (IP supplementary plan)

    If you are a participant in the Loyalis group disability insurance scheme (contract number 0005700, Stichting VU), you will receive a proposal from Loyalis for possible continuation on an individual basis after the termination of your employment. Loyalis can be contacted by telephone: (045) 579 1989. Idem? For employees who leave full employment based on ABP early retirement or reaching the state pension age, continuation of the pension scheme is not worthwhile.

    Group life insurance (surviving dependants’ insurance)

    If you are a participant in the group surviving dependants’ pension shortfall insurance from elipsLife, in that case you will be the policyholder, and you should at all times notify elipsLife of the termination of your employment within 4 weeks. The company will send you a proposal for possible continuation of this insurance policy on an individual basis. Please contact the customer service of elipsLife by telephone on (020) 755 9800 idem if you have any questions or wish to give notification of any changes. For employees who use the ABP early retirement before attaining the state pensionable age, continuing to participate in this insurance scheme may be advantageous. Continuation is not possible for employees who have attained the state pensionable age.

    Group non-life insurance schemes

    If you are a participant in the group car insurance, travel insurance, household insurance, liability or legal assistance schemes with Aon Netherlands (via www.aonverzekeringen.nl/en/vua) you can keep your current policy until the expiry date on the same terms and conditions as when your employment contract is terminated. If you wish, you can subsequently take out an individual policy with Aon Netherlands by calling 088 - 810 81 33 (accessible on working days between 08:30 and 18:00 hours).     Employees who leave full employment on the basis of ABP early retirement, or because they have reached the state pensionable age or will receive a WW/WAO/WIA benefit, may continue to participate in these group insurance schemes under the same terms and conditions.

  • Final settlements

    Holiday leave and year-end bonus

    Any accrued holiday leave and year-end bonus will be calculated and added to your last salary payment. To settle any remaining holiday leave prior to the termination of your employment, you will need to contact your manager. In principle, all holiday leave should be taken before the termination of your employment.

    Long-term saving model

    In principle, any hours accrued must be used up before the end of your employment contract. There may only be a pay-out in accordance with Article 5.5, paragraph 5 of the Collective Labour Agreement for Dutch Universities in the case of the premature termination of the employment contract. Payment can only be made at the request of the unit, so the initiative for this lies with your manager.

    Remuneration of removal expenses

    If you have received a remuneration of removal expenses from the employer and you resign at your own request within 12 months of the move or are dismissed within 12 months of the move through your own fault or action, this remuneration must be repaid in full.

    Study costs allowance

    If you are following or have followed a study programme through the employer, whereby the provisions of the repayment obligation in accordance with Article 8 of the Training Facilities Regulations apply, the costs of the programme will be fully or partially reimbursed by you.

  • Transitional payment

    You may be eligible for a transitional payment. The Factsheet transitievergoeding Rijksoverheid (in Dutch only) is available to determine a possible entitlement to a transitional payment.
    If you think you may be eligible for this, you should submit an application by email to the HR Service Desk one month prior to the termination of your employment contract, stating your personnel number.
    If you are indeed entitled to a transitional payment, this will be paid in the month following the last salary payment. Transition charges, study expenses and employability fees may be deducted from the transitional payment.

  • Fitness (VU Fit at Work)

    If you participate in the VU Fit at Work programme of the VU Sports Centre, starting on the day of the termination of your employment contract you will no longer be entitled to participate in sporting activities under the conditions that apply for this programme. It is possible to continue on an individual basis for an additional fee. To do so, you need to report to the Student Services Desk of the VU Sports Centre, Uilenstede location (main office).   • Senior Citizens’ Fellowship of the VU University Medical Center and Vrije Universiteit Amsterdam (GSVU-VUmc)
